Step 1: Adjust Page Layout and Margins

Possible Error: Margins not compliant with IEEE MAPCON specifications (top/bottom/left/right spacing errors).

  • Click anywhere inside the manuscript text.
  • Go to Layout → Margins → Custom Margins.
  • Set the following values: Top: 1.95 cm, Bottom: 2.68 cm, Left: 1.65 cm, Right: 1.65 cm.
  • Apply to Whole Document.
  • Verify that text and figures are properly aligned within the printable area on every page.
  • Ensure that the first and last line of each page are properly aligned (no large blank spaces).

Step 2: Ensure Two-Column Format

Possible Error: Manuscript submitted in single-column or uneven column widths.

  • Go to Layout → Columns → Two.
  • Check that both columns have equal width and equal spacing (default spacing = 0.51 cm).
  • If figures or tables extend across both columns, ensure they are centered and follow IEEE style.
  • Avoid manual column breaks unless required to balance text near the end of the paper.

Step 3: Font and Text Formatting

Possible Error: Wrong font type or inconsistent sizes.

  • Ensure the main body uses Times New Roman, 10 pt.
  • Title: 24 pt bold, centered.
  • Authors: 10 pt, centered.
  • Abstract and Index Terms: 9 pt italic.
  • Section Headings: 10 pt bold, all caps (e.g., I. INTRODUCTION).
  • Subsection Headings: 10 pt italic, title case.
  • Ensure no text is colored or highlighted (all black).

Step 4: Line Spacing and Paragraph Alignment

Possible Error: Incorrect spacing before or after paragraphs, inconsistent line height.

  • Select all text (Ctrl + A).
  • Go to Home → Paragraph → Line and Paragraph Spacing → Line Spacing Options.
  • Under Spacing: Before = 0 pt, After = 0 pt, Line Spacing = Single or Multiple (0.95–1.0) for tight alignment.
  • Justify all text (Ctrl + J).

Step 5: Figures and Tables Formatting

Possible Error: Figures not centered, captions in incorrect font or size.

  • Center all figures and tables horizontally.
  • Ensure all figure captions are in 9 pt, placed below the figure.
  • Table captions should be above the table in 9 pt.
  • Maintain sufficient white space between text and figures/tables.
  • Ensure figure resolution ≥ 300 dpi.
  • Avoid stretching or distorting figures.

Step 6: References Formatting

Possible Error: Incorrect citation style or spacing in the References section.

  • Use IEEE citation style — numbered in square brackets [1].
  • References should be in 9 pt, single-spaced, and justified.
  • Go to Paragraph settings: Spacing Before = 0 pt, After = 0 pt, Line Spacing = Multiple (0.9).
  • Ensure proper punctuation and order (authors → title → source → year).
  • Do not insert line breaks manually between references.

Step 7: Page Numbers and Headers

Possible Error: Page numbers or headers included.

  • Go to Insert → Header/Footer → Remove Header/Footer.
  • Ensure no page numbers appear anywhere in the document.
  • The conference will add official headers and footers later.

Step 8: File Name and Format

Possible Error: File name not in required format or wrong file type.

  • Save the file as .DOCX (not .RTF or .PDF for initial submission).
  • Use the naming format: PaperID_FirstAuthorLastName.docx (e.g., MAPCON2025_Somanath.docx).
  • Before uploading, re-open the file to verify that no elements have shifted.

Step 9: Final PDF Generation

Possible Error: PDF conversion causes font embedding or layout errors.

  • Use Save As → PDF (not “Print to PDF”).
  • Click Options → Check ISO 19005-1 compliant (PDF/A).
  • Reopen the generated PDF and verify: All fonts are embedded, no text shifted, figures appear sharp.
